In general, it can be scheduled at any time of the year when corporate events, courses, or seminars that last for several hours are taking place. The key is to time it right because our ability to concentrate starts to diminish after about an hour and a half of continuous attention, making that the ideal moment for a coffee break. This break allows event attendees to enjoy a coffee break, indulge in some snacks, socialize with other participants, and recharge for the rest of the day.

It’s important to consider the objectives of the coffee break when organizing it:

Once you have a clear idea of the required quantities (approximately half a liter of beverages and about 5 snacks per person), consider diversifying the food and beverage offerings. Besides coffee (don’t forget lactose-free and plant-based options), think about acquiring water bottles. When it comes to food, it’s ideal to have both savory and sweet options. Don’t forget to include plates, glasses, cutlery, and napkins on your shopping list.

As for the timing of the coffee break, it’s essential to strike a balance. Avoid having multiple breaks that may overly relax the attendees. For this reason, scheduling it in the middle of the event is a smart choice. Additionally, determine an appropriate duration, with 20 minutes being the optimal time.

Don’t overlook the scheduling of speaker presentations before and after the coffee break. Every segment of the event is valuable, so it’s important to consider whom to schedule before and after the intermission. An effective suggestion is to feature the top speakers at the beginning of the day (but not the very first slot, to allow the audience to warm up) or after the break when everyone is full of energy.
